Minutes of Ocean Grove Board of Directors Meeting February 21, 2017

Board of Director Attendees: Brian Paradise, Joey Stevens, Bill Kornmayer, Maryann Greenberg

Meeting Called to Order: 7:00 PM

Quorum Established: Yes

Brian Paradise: Called meeting to order.

Brian Paradise: Gave proof of Notice of the Meeting.

Approval of Minutes from the 12/13/16 and 1/10/17 meetings:

Bill Kornmayer made a motion to approve the minutes without reading. Joey Stevens seconded the motion. Brian Paradise, Bill Kornmayer and Joey Stevens voted aye. Motion passed.

Treasurer’s Report

Update on collection accounts, Write offs

Treasurer’s report and collection update given by Dirk Penzien. Copy of the report is available at the management office.

Safety and security update and pet issues

Safety and security update and pet issue report, was given by Dirk Penzien. Copy of the report is available at the management office.

Maintenance Report

Maintenance Report was given by Dirk Penzien. Copy of the report is available at the management office.

Frequency of Board meetings

No motion was made to change from holding meetings every other month. Brian Paradise stated that meetings could be held at other times if there was a need to vote on something.

New Ocean Grove website

Manager Dirk Penzien announced that the Ocean Grove website was going to be redone to be more user friendly, add more information and add the capability to download forms and condo docs.

Noise issues from condos with solid floors

There was discussion about problems created in units where solid floors were installed above other units.

Formation of Landscape Committee

Brian Paradise announced that the Board was creating a Landscape Advisory Committee and asked anyone interested in participating to sign up at the end of the meeting.

Landscape maintenance company and new landscape installations

Due to the amount of material which needed to be covered for this item, it was decided to hold a special meeting to review and discuss the proposals.

The floor was opened to owners wishing to comment.

Meeting Called to Order: 7:03 PM

Bill Kornmayer gave Proof of Notice of the Meeting.

Election of Officers by the Board of Directors

Bill Kornmayer made a motion to nominate Brian Paradise for President. Vicki Choinski seconded the motion. There were no other nominations. Motion passed.

Brian Paradise made a motion to nominate Joey Stevens for Vice President. Bill Kornmayer seconded the motion. There were no other nominations. Motion passed.

Vicki Choinski made a motion to nominate Maryann Greenberg for Secretary. Bill Kornmayer seconded the motion. There were no other nominations. Motion passed.

Brian Paradise made a motion to nominate Bill Kornmayer for Treasurer. Maryann Greenberg seconded the motion. There were no other nominations. Motion passed.

Vicki Choinski shall be the Director at large.

Minutes of Ocean Grove Runoff Election Meeting January 10, 2017

Board of Director Attendees: Bill Kornmayer, Brian Paradise, Joey Stevens, Vicki Choinski

Call meeting to order by President, confirm quorum: Bill Kornmayer called meeting to order at 6:30 PM.

Proof of Notice of Meeting:

Bill Kornmayer gave Proof of Notice of the Meeting.

Collection of any ballots that have not been cast by Unit Owners prior to the meeting: All ballots were collected prior to the start of the meeting.

Appointment of inspectors of runoff election:

Bill Kornmayer appointed Lucy Acevedo to supervise the counting of the ballots. Ballots were counted by Condominium Concepts Management employees Lucy Acevedo, Holly Gravely, and Tim McCarthy

Runoff election for 5th Director: There were no other nominations. Motion passed.

The vote tally was as follows:

Tyler Saldutti 38

Replacing arbor over pool equipment area

Brian Paradise made a motion to replace the arbor over the pool area with shade sales. Joey Stevens seconded the motion. All voted aye. Motion passed. Manager Dirk Penzien will order color samples before ordering shade sales.

AT&T fiber optic installation

A proposal from AT&T to install fiber optic service and outlets into each condo unit was presented to the Board Members. The proposal offered to pay Ocean Grove $12,500 to allow them to install the outlets in the units with the requirement that Ocean Grove provide a staff member or security person during the 6 – 9 month installation process. No motion was made.

Landscape improvements and maintenance service company

Manager Dirk Penzien gave a report on the status of the landscape replacement project and reported that he was taking bids for replacing the current landscape maintenance company.

Brian Paradise made a motion that landscaping be added to every Board meeting agenda. Bill Kornmayer seconded the motion. All voted aye. Motion passed.

Tyler Saldutti made a motion to waive the reading of the 8-9-16 minutes and approve as written. Joey Stevens seconded the motion. All voted Aye. Motion carried.

Landscape improvements update

Manager Dirk Penzien gave an update of the landscape improvement plan.

Replacing media room HVAC system

Bill Kornmayer made a motion to replace the unit for an amount not to exceed $3,900. Joey Stevens seconded the motion. All voted aye. Motion passed. Manager Dirk Penzien to secure one additional bid from Donovan Heating and Air.

Community yard sale in late September/early October

Joey Stevens made a motion to have a community yard sale in late September. Bill Kornmayer seconded the motion. All voted aye. Motion passed. Yard sale is tentatively scheduled to be held on Saturday September 24th.

AT&T fiber optic service feasibility study

Bill Kornmayer made a motion to let AT&T perform a feasibility study to see if Ocean Grove qualifies for fiber optic installation. Vicki Choinski seconded the motion. All voted aye. Motion passed.

Board approval of renewal of insurance policies

Brian Paradise made a motion to approve the renewal of the insurance policies starting June 26, 2016. Joey Stevens seconded the motion. All voted aye. Motion passed.

Request for community yard sale

Item tabled until a later meeting due to the hot weather.

Treatment of buildings for carpenter bees and repair of woodpecker damage

Bill Kornmayer made a motion to approve the proposal by Florida Pest Control for up to $14,400 to treat the carpenter bees on the buildings and repair the damage caused by woodpeckers. Vicki Choinski seconded the motion. Brian Paradise voted nay. Bill Kornmayer, Vicki Choinski, and Joey Stevens voted aye. Motion passed with a 3–1 vote.

Tyler Saldutti made a motion to look into getting a bi-annual treatment for carpenter bees. Bill Kornmayer seconded the motion.

Tyler Saldutti made a motion that a notice be sent out stating all pets must be on a leash, that it is state law, that owners must pick up after their pets, and to please provide a picture of their pet to the office to keep animal control from picking up their pet. The motion was not seconded. Vicki Choinski made a motion to review the county law, send out a new notice about picking up after pets and quote the law stating that they must be on leashes, and re-confirm our commitment to fine owners who are in violation. Tyler Saldutti seconded the motion. All voted aye.
